01 — The Chaos

The hidden tax of managing multiple projects.

You are running 5 to 15 projects at any given time. Action items are buried in Slack threads, decisions are lost in Google Docs comments, and critical risks are glossed over in meeting transcripts.

You spend the first two hours of every day manually sorting through tabs, piecing together what changed, and chasing status updates. The actual work of program management is replaced by administrative triage.

Things inevitably fall through the cracks. Deadlines slip not because of technical failures, but because alignment dissolved in the noise.

PMBrain extracts the intelligence layer. It sits upstream of your execution trackers, processing raw inputs so you start every day knowing exactly what is blocking progress, what requires decisions, and who needs to be updated.

02 — Capabilities

Every project, organized — without the busywork.

01

Capture

Paste transcripts, emails, or notes. Upload text, markdown, eml, docx, or PDF documents directly.

02

Organize

AI extracts action items, risks, decisions, and dependencies. Automatically groups and de-duplicates.

03

Prioritize

Generate your daily action list, sorted by direct deadline urgency and structural project impact.

04

Draft

Automatically compile drafted stakeholder updates, team summaries, and follow-up emails.

05

Report

Generate structured progress logs ready to feed directly into Jira, Asana, or MS Project.

03 — The Method

From chaotic input to daily plan in 3 steps

1

Input anything

Paste raw notes from a quick catchup, drag in a 45-minute meeting transcript, or drop in status emails.

2

Let AI synthesize

Our project parsing parses the records to identify tasks, flag risks, list critical decisions, and track dependencies.

3

Drive execution

Start your morning with a structured brief. Export summaries, copy actions, and sync with your trackers.

04 — Privacy & Autonomy

Runs on your AI. Your data, your control.

Most SaaS tools bundle marked-up, black-box AI models, keeping you locked into their terms. PMBrain is different. We operate on a Bring Your Own Key (BYOK) model. You connect your own provider API key and pay them directly at cost.

Cost Transparency

Pay AI developers (OpenAI, Anthropic, Gemini, DeepSeek, Ollama) directly at cost. No markup fees from us.

Data Sovereignty

Your keys mean your data passes directly between you and your provider. Workspaces are isolated.

Private by Design

Your meeting transcripts, project updates, and logs are never stored or used to train anyone's model.

05 — Audience

Built for program and portfolio operators.

Overloaded PMs & PMO Leads

Operators running multiple workstreams who need a structured daily check-in that surfaces risks and dependencies without manual compilation.

Independent Consultants

Portfolio managers running complex delivery sets for multiple clients who need clean, structured briefings without spending hours in alignment calls.

What PMBrain is not: It is not a developer ticket tracker, a chat tool, or a database replacement. It does not write code or coordinate developers. It is built to keep project operations clean and managers organized.
06 — FAQ

Frequently Asked Questions

What is PMBrain?
PMBrain is a second brain and AI chief-of-staff designed specifically for project and program managers. It turns messy notes, emails, and meeting transcripts into structured, prioritized work, identifying what needs immediate attention each day.
Does it replace Jira, Asana, or MS Project?
No. PMBrain is methodology-agnostic and sits upstream from your primary task tracking systems. It is designed to capture, clean, and organize messy inputs first, creating structured updates and actions that you can then feed into Jira or Asana without the manual triage overhead.
What does 'Bring Your Own AI' (BYOK) mean, and who pays for it?
BYOK means you connect your own provider key (such as OpenAI, Anthropic, Google, or DeepSeek) and pay them directly at cost for the tokens you use. PMBrain never sells, marks up, or resells AI access. This setup guarantees cost transparency and absolute data isolation.
Is my data private and secure?
Yes, private by design. Your workspaces are fully isolated, and because you use your own provider API keys, your data remains under your direct account authority. Your meeting notes and records are never used to train models.
What can I capture today?
In version 1, you can paste text or upload documents (.txt, .md, .eml, .docx, and .pdf). To protect customer privacy, we intentionally launch without direct Slack or email integrations, keeping data imports manual and controlled.
Is it tied to Agile or Waterfall frameworks?
No, PMBrain is methodology-agnostic. It extracts structural action points, risks, dependencies, decisions, and follow-ups from your files, leaving you free to run Waterfall phases, Agile sprints, or hybrid portfolios as you see fit.
When does PMBrain launch?
Founding access opens on August 15, 2026. Everyone who reserves a founding spot from the waitlist is invited in on launch day, ahead of general availability. You bring your own AI provider key, so there is nothing else to wait on.
How much does it cost?
PMBrain is a flat 10 USD per user, per month — no AI markup, because you bring your own provider key and pay that provider directly at cost. Founding members pay 50% off (5 USD/month), billable monthly or annually (60 USD/year). How long you keep the founder discount depends on how early you claim your seat.
What is the founding-member offer, and how many seats are there?
There are 850 founding seats, allocated in signup order: the first 100 members keep 50% off (5 USD/month) for life, the next 250 keep it for five years, and the next 500 keep it for their first year. After the discount period the price is the standard 10 USD/month, and a founder's locked-in rate never rises while they stay subscribed. Every founder also gets first access on August 15, 2026, plus private roadmap updates and priority onboarding. Once all 850 seats are claimed, only standard pricing is available.
What does joining the waitlist get me?
Joining the waitlist reserves your founding spot in signup order — and because seats are allocated by that order, the earlier you join, the longer your 50% founder discount lasts (lifetime for the first 100, five years for the next 250, one year for the next 500). You also get priority access on launch day (August 15, 2026) and private roadmap updates. It's free and non-binding — no card required to reserve.
